Budget & Operations Administrator, COMPACT

The Vic ’63 and Bobbi Samuels ’63 Center for Community Partnerships and Civic Transformation (COMPACT) brings together students, faculty, and community partners to advance social justice, foster civic learning, and strengthen democratic engagement. We are seeking a Budget & Operations Administrator to play a pivotal role in ensuring the success and sustainability of this important work.

This is a unique opportunity for a detail-oriented, highly organized professional who thrives on balancing financial management, communications, and program support in a mission-driven environment.

What You will Do

In this role, you will:

Financial Leadership & Budgeting (30%)

  • Lead annual budget planning and forecasting for COMPACT, ENACT, and Global Community Engagement (GCE).
  • Manage daily operations of multiple funding sources (gifts, grants, endowments) using Workday, Coupa, and Planning Maestro.
  • Prepare monthly reports, reconcile expenses, and advise leadership on spending strategies.

Communications & Marketing (25%)

  • Design and publish COMPACT’s monthly newsletter highlighting community engagement, partnerships, and student impact.
  • Maintain and update COMPACT’s website, ensuring content is accurate, engaging, and aligned with program priorities.
  • Develop communications strategies in collaboration with campus and community partners.

Financial Reporting & Systems (20%)

  • Create and maintain financial tracking systems to ensure accountability and transparency.
  • Streamline reporting processes with Procurement, Accounts Payable, and Financial Planning.
  • Provide detailed reporting for grants, fellowships, and special initiatives.
  • Program & Event Support (20%)
  • Coordinate events and programs, from residencies to orientation sessions and alumni panels.
  • Manage logistics, travel, and marketing materials to ensure smooth and professional execution.

Other Responsibilities (5%)

  • Provide cross-functional support to the division as needed.

What We Are Looking For

  • Education: Bachelor’s degree required; Master’s degree in business administration or related field preferred.
  • Experience: 2–4 years of professional experience in budget management, financial reporting, or operations.
  • Strong analytical skills with a knack for forecasting, reconciling, and translating financial data into actionable insights.
  • Excellent written and visual communication skills, with experience in newsletters, marketing, or digital content.
  • Ability to manage multiple priorities, meet deadlines, and collaborate across diverse teams.
  • Experience with financial systems such as Workday, Coupa, and Planning Maestro (or comparable platforms) is a plus.
